Introduction
After every webinar, your university lives in a browser tab. Here’s how to move it somewhere that lasts.
It’s a familiar scene in international recruitment. The webinar ends. The presenter thanks everyone for joining. The session recording is uploaded to a landing page. A follow-up email goes out with a link and a brochure attachment.
That’s where the student’s memory of your institution lives: in a tab they’ll close, or a PDF they’ll never open. Valuable information, yes. But not memorable. Not tangible. Not felt.
Human memory doesn’t work the way we often assume. We remember experiences — not documents. We remember how something felt. Whether it arrived unexpectedly. Whether it had our name on it. Whether it was worth keeping.
The gap between a webinar and a decision
A student who attends a university webinar is, almost by definition, in research mode. They’re comparing options. They’ll attend three or four similar sessions over a month. In a few weeks, the specific content of each webinar — the slides, the programme details, the Q&A — will blur together.
What they will remember is the feeling each university left them with. Whether they felt like a face in a crowd, or a person being spoken to directly.
Why physical follow-up is the lever nobody uses
Here’s what’s curious about the post-webinar moment: it’s one of the few times in a student’s journey where you have a confirmed address, a confirmed interest signal, and a clear next action you want them to take (applying). Yet the universal response is — send more email.
Part of the reason is habit. Email is fast, measurable, and cheap. But cheap per-send doesn’t mean effective. The marginal cost of one more email going unread is effectively zero. The marginal loss from a warm lead going cold is significant.
A physical kit after a webinar changes the equation. It’s unexpected. It’s not competing with forty other emails. It’s sitting on a desk next to a cup of tea.
-
WHAT SHOULD GO IN A POST-WEBINAR KIT
- Application checklist
- Programme overview card
- Scholarship highlights
- Branded notebook or sticky pad
- Personal note from the admissions team
The personal note carries disproportionate weight. In an age of automation and chatbots, a message that feels like it came from a human being — even if it’s printed — is disarming. It communicates: we noticed you were there. We’re glad you came. We want you here.
Timing is everything
The ideal window for a post-webinar kit dispatch is three to seven days after the event. Close enough that the university is still fresh in the student’s mind; far enough that the kit feels like a considered gesture rather than an immediate automated response.
Hue Marcom’s dispatch model is designed for exactly this window. Once you share your attendee list, we can have kits packing within 48 hours and in the mail within the week — without your team touching a single envelope.
